Lexi Mind ("we", "us") respects your privacy. This policy explains how we collect, use, disclose and protect your personal data under Singapore's Personal Data Protection Act 2012 (PDPA). The confidentiality of counselling sessions is also governed by professional ethics. See section 4 below and the informed consent form you sign before your first session.
1. Who we are
Lexi Mind is a counselling practice in Singapore at 18 Sin Ming Lane #08-34 MidView City, Singapore 573960. For personal data matters, contact info@yuxin.sg.
2. What we collect
- Contact and booking details: your name, phone, email, WhatsApp or WeChat account, and the time and type of session you book. You may give us these through our Cal.com booking page, WhatsApp, WeChat or email.
- Counselling records: intake forms, the informed consent form, and session notes. The online consent form on this site is filled in within your browser for printing or saving as a PDF; it is not uploaded to our servers. These may include sensitive information about your health, emotions, family and relationships.
- Payment records: what we need to charge fees and issue receipts.
- Website usage: we use Google Analytics to understand how the site is used (for example, pages viewed, device type and approximate region). It uses cookies. We do not use website analytics to identify you.
- Space rental details: the contact person, date and time, number of attendees and purpose when you rent Lexi Space.
3. How we use it
- To arrange, provide and follow up on counselling and related services
- To contact you to confirm, reschedule or remind you of appointments
- To keep the professional records we need
- To handle fees and receipts
- To meet legal and regulatory obligations
- To understand how the website is used and improve it
- To arrange space rentals
We do not sell your personal data, and we do not send you marketing without your consent.
4. Confidentiality and its exceptions
Session content and related records are kept confidential and are not disclosed to anyone without your written consent, except in these legal or ethical situations:
- You or someone else is at immediate risk of self-harm, suicide or violence.
- Abuse or neglect of a minor, an elderly person or a person with disabilities is suspected or known.
- Disclosure is required by a court order, subpoena or other lawful authority.
- You ask to be referred to another professional and give written consent.
5. Third-party services
We use the following services to run our practice. They handle the related data under their own privacy policies:
- Cal.com (online booking)
- WhatsApp, WeChat and email providers (communication)
- Video meeting platforms (online sessions)
- Google Analytics (website statistics)
- Vercel (website hosting), Google Fonts and cdnjs (web fonts and icons)
Some of these services store data outside Singapore. When data is transferred overseas, we take the steps the PDPA requires to make sure it gets a comparable standard of protection.
6. Cookies and analytics
Google Analytics uses cookies to collect anonymous visit statistics. You can block or delete cookies in your browser settings, or install Google's Analytics opt-out browser add-on. Your dark/light theme choice is stored only in your own browser and is not used for tracking.
7. Retention and security
We keep personal data only as long as we need it for the purposes above and to meet our legal and professional obligations. After that, we securely delete or anonymise it. Raw session notes are kept for clinical management only and are not released externally. We take reasonable security measures, but no internet transmission is completely secure. Please discuss sensitive matters in session, in person or by video, rather than describing them in detail by email or messaging apps.
8. Your rights
You can ask to access or correct the personal data we hold about you, and you can withdraw your consent to its use. Withdrawing consent may affect our ability to keep providing services, and we will explain this to you first. If you want information about your counselling record, your counsellor will give you a written summary rather than the raw notes. Send requests to info@yuxin.sg. We will reply as soon as we can, normally within 30 days.
9. Minors
Clients under 18 generally need consent from a parent or guardian. The scope and limits of confidentiality are explained to the young person and their parents at the first session.
10. Changes to this policy
We may update this policy from time to time. The current version will always be on this page, with its last updated date.
